Terms of Service

Effective date: October 1, 2026 · Last updated: September 17, 2026

These Terms of Service ("Terms") govern your use of AysOps, the business-management service available at aysops.com (the "Service"), operated by At Your Service Operations, a trade name of 14289650 Canada Inc. ("we", "us"). By creating an account or using the Service you agree to these Terms. If you use the Service on behalf of a business, you confirm you have authority to bind that business.

1. The Service

AysOps provides tools for running a consulting or service business: customer management, estimates, work orders, invoicing, expenses, mileage tracking, scheduling, and related features. Optional paid add-ons extend it — among them team access, calendar sync, video-call links and meeting transcripts, online payments, accounting sync, a password vault, extra storage, and AI assistance. Features may be added, changed, or offered as paid add-ons over time.

2. Accounts and security

  • You must provide accurate information when creating an account and keep it up to date.
  • You are responsible for safeguarding your sign-in credentials and any connected Google or Microsoft accounts. Two-factor authentication is required.
  • You are responsible for the actions of team members you invite to your company.
  • Notify us promptly at [email protected] if you suspect unauthorized access.

3. Companies, subscriptions, and billing

  • A login may manage one or more companies. Subscriptions, trials, and add-ons are per company — each company is billed separately, and nothing purchased for one company applies to another.
  • Your billing currency is set by the country on your account: accounts in Canada are billed in Canadian dollars (CAD); all other accounts are billed in US dollars (USD). Prices are always labeled with their currency. Payments are processed by Stripe.
  • Paid plans renew automatically until cancelled. You can cancel at any time; access continues to the end of the paid period. Fees already paid are non-refundable except where required by law.
  • Free periods. A new company gets a free period of the plan, stated at sign-up. An additional company opened by the same owner shares whatever remains of that period rather than starting a new one. Most add-ons include a short free trial the first time you enable them; AysOps AI is the exception — its trial ends after a set time or a set amount of usage, whichever comes first, and the add-on then switches off rather than converting to paid. Extra storage and AI top-ups are billed from the day you add them and are never part of a free period. We may adjust trial terms or decline trials where we detect abuse.
  • Team seats (Teams add-on) are billed per accepted member on the same subscription, at the price for that member's role. Adding, removing or re-tiering a member is prorated.
  • Storage. Each company includes a set amount of file storage, shown in the app. Extra capacity is a paid add-on billed from day one and can be reduced at the end of a billing period. When you are at your limit, new uploads are refused until you free space or add capacity; nothing already stored is deleted for being over a limit.
  • If a payment fails or a subscription lapses, the Service becomes read-only for that company rather than closing: you keep access to your records and can export them, and editing resumes when billing is back in good standing.
  • We may change pricing with at least 30 days' notice before the change affects an active subscription. Where a feature or add-on is offered at no charge and later becomes paid, we will give at least 60 days' notice before it starts billing.

4. Your data

  • The business data you enter — customers, documents, files — is yours. You grant us only the rights needed to host and process it to provide the Service.
  • You are responsible for the accuracy and lawfulness of the data you store, including having any required consent to store your customers' information.
  • The company owner controls the company's data and who may see it. Team members act on the company's behalf within the permissions the owner grants them.
  • Our collection and handling of personal information is described in the Privacy Policy.

5. AI features

  • Optional AI features can read material you provide — receipts, supplier documents, odometer photographs, record names for accounting matches, and meeting transcripts you have saved — and suggest values, summaries, matches, or follow-up work from them.
  • AI output is a suggestion, not a determination. It can be wrong. You are responsible for reviewing every AI-suggested value before accepting it — especially amounts, tax figures, and record matches that flow into your invoices, expenses, books, or tax filings.
  • Accepted suggestions become your data entries, exactly as if you had typed them yourself. A suggestion you do not accept is not stored as a record.
  • A transcript is only read when you ask for it — nothing is analysed automatically. See section 6 for your responsibilities around recording and transcription.
  • AI usage is metered against a monthly allowance shared by your whole company, shown on the AI usage page. The allowance follows your billing period, is prorated for the first one, and unused allowance does not carry over. When the allowance is spent, AI features stop until the next period or until you add a top-up. Top-ups are billed from the day you add them.
  • Material you send to an AI feature is processed by our AI provider on our behalf and is not used to train AI models. You must not send material you have no right to send.

6. Meetings, recordings, and transcripts

  • The Service can create video-call links for your appointments through your own Zoom, Google or Microsoft account, and — if you switch it on — save the text transcript those services produce for a call, filed against the relevant customer.
  • We never start, join, or request a recording, and we do not receive audio or video. Whether a meeting is recorded or transcribed is decided in your meeting provider by the people in the call.
  • Consent is your responsibility. Laws on recording and transcribing conversations differ by province, state and country, and some require every participant to be told or to agree. You are responsible for meeting those requirements for every meeting you transcribe, and for having the right to store the transcript and to send it to an AI feature if you choose to.
  • Transcripts are files in your account: they count towards your storage, are covered by the same access controls, and are deleted when you disconnect the account that imported them or when the add-on that provides the feature ends.

7. Payments you take from your customers

  • With the online payments add-on, your customers can pay your invoices online. Those payments are processed by Stripe through an account you open and control, and your use of it is also governed by Stripe's own connected-account agreement.
  • Stripe verifies your business, holds the funds, and pays them out to your bank on its own schedule. We never hold your money and we do not control payout timing.
  • We charge a platform fee on payments taken this way, shown in the app before you enable the add-on and on each payment. Stripe's own processing fees are separate and are charged by Stripe.
  • Refunds, disputes and chargebacks are between you and your customer. You are responsible for any amount reversed, and for any fee Stripe charges on it.
  • You are responsible for what you charge for, for your own refund and cancellation policy, and for the taxes you apply.

8. Services you connect

  • You can connect your own accounts — calendar, email, video calling, accounting — to the Service. Your use of each remains subject to that provider's terms, and you must have the right to connect it.
  • We only ask for the access a feature needs, and we say what it is before you approve it. Disconnecting removes our access and deletes the stored credentials, along with anything the Privacy Policy says is deleted with them.
  • A provider may change, restrict or withdraw its interface, or an administrator in your organisation may switch a capability off. Where that stops a feature working, we will say so in the app; it is not a failure of the Service, and it does not on its own entitle you to a refund.

9. Referrals and credits

  • We may offer credit for referring another business. A referral qualifies only once the referred company has been a paying customer for the period stated in the programme, and credit is applied to your account balance against future invoices.
  • Credit is not cash, is not redeemable or transferable, and expires if your account closes. You may not refer yourself, a company you already own, or use codes in a way designed to defeat the purpose of the programme.
  • We may change or end the programme, and may withhold or reverse credit where we find abuse.

10. Acceptable use

You agree not to:

  • Use the Service for anything unlawful, deceptive, or infringing;
  • Attempt to breach, probe, or circumvent security or access controls, or access data belonging to another account;
  • Upload malicious files or content;
  • Resell or provide the Service to third parties as your own offering without our written agreement;
  • Interfere with the integrity or performance of the Service, or use it to send spam;
  • Send material to an AI feature that you have no right to send, or use the Service to record or transcribe a conversation without the consent the law requires.

11. Emails you send through the Service

The Service can send estimates, invoices, and other documents to your customers, including through your own connected email account. You are the sender of those messages and are responsible for their content and for complying with applicable email and anti-spam laws (such as CASL and CAN-SPAM).

12. Availability and support

We work to keep the Service available and your data safe, but the Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including fitness for a particular purpose. We may perform maintenance, and features may occasionally be unavailable.

The Service is business software, not professional advice. Totals, tax amounts, mileage figures and accounting entries are produced from what you and your settings tell it, and sales tax on your own subscription is calculated by Stripe from your address. Nothing in the Service is tax, accounting or legal advice, and you remain responsible for what you file and what you charge.

13. Limitation of liability

To the maximum extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data. Our total liability for any claim relating to the Service is limited to the amount you paid us for the affected company in the twelve months before the event giving rise to the claim. Nothing in these Terms limits liability that cannot be limited by law.

14. Termination

  • You may stop using the Service and close your account at any time.
  • We may suspend or terminate access for material breach of these Terms, abuse, non-payment, or where required by law. Where practical, we will give notice and a chance to remedy first.
  • After termination you may request an export of your data for a reasonable period, after which it is deleted per the Privacy Policy.

15. Changes to these Terms

We may update these Terms as the Service evolves. Material changes will be announced in the app or by email at least 14 days before they take effect. Continued use after that date constitutes acceptance.

16. Governing law

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein, and disputes are subject to the courts located in British Columbia, Canada.
